SUMMARY OF RENTAL POLICIES, MORE INFORMATION WILL BE INCLUDED IN YOUR RENTAL AGREEMENT

 

RESERVATION PROCESS

Coastal Wave Vacation Rentals has homes on several websites (online travel agencies). However, reservations can be made securely through our company website. Booking directly with Coastal Wave ensures you get our best prices. Once your reservation has been made a rental agreement will be sent to you via email. Please review the agreement and sign it electronically. Coastal Wave reserves the right to cancel your reservation if your rental agreement is not returned within 48 hours. You will be required to pay 50% of the total reservation cost at the time of the booking. The final payment will be due 30 days prior to arrival. The final payment will run automatically to the card on file. However, guests may request a link to update or change this information by emailing coastalwaveproperties@gmail.com. Personal checks are accepted but must be received more than 30 days before arrival. Please let us know in advance that you plan to mail a check to us. 

DOGS

No dogs or other pets are allowed unless the property is pet-friendly, our staff has approved the pet, and a pet addendum has been signed electronically. Pet-friendly homes require a non-refundable pet fee at the time of the reservation. However, pets can be added at any time before arrival provided the aforementioned criteria are met. Otherwise, in the absence of a pet addendum, if a pet(s) is found on the property, the guest will be evicted and there will be no refund. 

CANCELLATIONS AND REFUNDS

Cancellation policies may vary based on the property and time of year. Please review the rental agreement for important dates related to cancellations and refunds. Refunds will not be given for late arrivals, early departures, or no-shows.

NATURAL DISASTER/TRAVEL INSURANCE

If a mandatory evacuation is issued due to a natural disaster such as a hurricane within 48 hours of the guest’s arrival date, guests will be issued a full refund. If a mandatory evacuation occurs during a stay, the guest will be refunded only for the number of days that there was an evacuation order in effect. We recommend that all guests purchase travel insurance, especially during hurricane season.

RATES, TAXES, FEES

All reservations come with fees that cover housekeeping, property management, and damage protection. Additionally, state and county taxes are included in the total cost. Some listing sites charge service fees in addition to our charges. Coastal Wave is not responsible for calculating those fees or refunding them in the event of a cancellation. Please keep in mind that although we have damage policies in place, guests may still be held accountable for excessive damages. Furthermore, while we make every effort to ensure that all rates, minimum night stays, and discounts are accurate, a technical error or unintended oversight may prevent us from honoring your reservation.

GUEST INSTRUCTIONS

Seven days prior to arrival, guests that have made all payments and electronically signed their rental agreement, will receive guest instructions specific to each home. These instructions will be sent via text and email and are not available in the home. We recommend that guests print them before they arrive. We request that guests contact us immediately with any maintenance or housekeeping issues. We respond promptly however, sometimes time is needed to schedule services. Equipment and appliances can malfunction and cannot be guaranteed and there will be no refunds.

INDEMNIFICATION

The undersigned Guest(s), their guests, heirs, assigns, and successors in interest agree to indemnify, release and hold harmless Coastal Wave Properties, the Owners of the Property, and their respective Owners, managers, heirs, assigns and successors of interest, employees, third-party contractors/affiliates from any and all liability for any claims, actions, causes of action, damages, injury claims or legal fees relating in any way whatsoever to Guest and their guest’s use of the above-referenced property including the use of the deck, balcony, walkways, beach chairs, the swimming pool, common areas, and premises surrounding the referenced property. In addition, the Guest further indemnifies Coastal Wave Properties, the Owners of the Property, managers, heirs, assigns and successors of interest, employees, and third-party contractors/affiliates against any claims by any of their Guests, guests, heirs, assigns, and successors in interests.

WEBSITE PRIVACY POLICY

Privacy is important to Coastal Wave Properties. This Privacy Policy is effective as of January 1, 2023, and applies only to information collected by the website at www.coastalwaveproperties.com.

1. Collection, Use, and Sharing of Information

Coastal Wave Properties is the sole owner of information collected on the website. The company collects information only voluntarily, through email or other direct contact. Information collected will not be sold or rented to a third party. It will be used solely to respond to user inquiries or requests and will not be shared with external parties unless necessary to fulfill a specific request.

2. Contact and Communication

Coastal Wave Properties may contact users in the future via email to provide information about specials, new services, or changes to the privacy policy. Users have the option to opt out of such contact at any time by contacting coastalwaveproperties@gmail.com.

3. Access to and Control Over Information

Users have the right to access any data collected and to change or correct it.

4. Security

Sensitive information collected online will be encrypted and securely transmitted. Access to personally identifiable information is restricted to employees who require the information for specific job functions.
